About the vacancy:

We are seeking a highly organized, proactive, and experienced Process Coordinator to provide comprehensive, high-level support to a member of our Executive Committee. This pivotal role requires exceptional administrative, communication, and interpersonal skills, along with the ability to manage complex schedules, coordinate follow-ups, and ensure seamless day-to-day operations in a fast-paced, multicultural environment.
You will act as a trusted partner to the executive - anticipating needs, enabling effective decision-making, and ensuring priorities move forward with precision, clarity, and efficiency while their time is optimally managed. Beyond core coordination responsibilities, the role also contributes to the continuous improvement of executive support practices and fosters collaboration across the wider coordination community.
As a Process Coordinator, we need you to:
  • Act as a primary point of contact between the executive committee member and internal and external stakeholders, including senior leadership and partners
  • Communicate with internal teams and external stakeholders on behalf of executive committee member and/or direct supervisor
  • Handle email communications on behalf of the executive
  • Draft and proofread reports, and other materials for review of executive committee member and/or direct supervisor
  • Represent the executive professionally in communications and interactions
  • Anticipate the executive’s needs and proactively take action to ensure smooth and efficient day-to-day operations
  • Handle confidential information with the highest level of discretion and professionalism
  • Ensure timely, accurate, and appropriate responses to communications
  • Manage the executive’s dynamic calendar and schedule meetings across time zones
  • Prepare meeting agendas, materials, and minutes in accordance with existing guidelines
  • Communicate the tasks/actions and track them by doing regular follow-ups
  • Provide escalation where required to ensure delivery of agreed actions
  • Prepare presentations and reports using inputs from various sources as instructed by the executive committee member and/or direct supervisor
  • Collaborate with various departments on coordination standards, templates, and processes
  • Process expense reports and manage budget-related tasks for the executive
  • Organize travel arrangements, including flights, hotels, and itineraries in alignment with existing policies
  • Support in event planning for the executive committee team member
  • Coordinate logistics for internal and external events involving the executive
  • As a Process Coordinator, we need you to have:
  • 3+ years of proven experience in a similar role (Executive Assistant, Project Coordinator, or senior administrative position)
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication, with attention to detail and accuracy
  • Discretion and professionalism in handling confidential information
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with digital collaboration tools (e.g., Zoom, Microsoft Teams, Miro, Slack, Planner)
  • Fluency in English (essential). Additional relevant language skills is a plus
  • Working experience with the technology leader or in tech industry is a plus
  • Experience supporting senior leaders in a fast-paced, international or multicultural environment
